Meetings as are an integral part of every organization. Some meetings are unnecessary, for while others, they are invaluable. It all depends on how much you would like to get results out of your meetings.
So let us assume that you have a meeting to lead, how can you ensure that your meetings are effective? Try this:
Have a Set Agenda For The Meeting
One of the reasons why many organizations fail to be effective with their meetings is because the person chairing the meeting does not have a clear agenda. If you have an agenda, you will realize that you will experience greater level of satisfaction because participants will come prepared for the meeting.
Set a Time Limit
One reason why some people detest meetings is because some participants are not so keen on keeping time; the time to start the meeting and the time to end the meeting. To ensure that your meetings are effective and people do not hesitate to come for meetings, have a clear plan where you know how long the meeting is supposed to take. People will know that you respect their time and they will be willing to respect your time too.
Have Clear Action Plans
Another way to make your meetings are effective is to ensure that once you are through with the meeting, you have agreed on something specific and different people have been charged with the responsibility of following up on them. This will make participants know that the meetings are important. However, if you have meetings and then the following time you don’t have anything to report about previous meeting, participants may feel that the meetings and decisions made in those meeting are of no importance.
Reduce The Number Of Participants
Another way to ensure that your meetings are effective is to reduce the number of participants in the meetings. Meetings with large groups tend to be ineffective because it takes long to make decisions. Making a single decision that would have required one person, may take long because every person in the meeting would like to give his or her own opinion and therefore making difficult, a very simple issue.
Chart The Course Of The Meting
Bring the meeting to attention in case participants start deviating from the agenda. Usually, there are some participants who would love to deviate from the agenda as much as it depended on them. However, it is the same participants who ask to be excused saying that they have another meting somewhere else and then they will complain that the meetings take too long.
If you make an effort to follow these five suggestions, you will have done away with a lot of the complaints that come from meeting participants, and increasing the effectiveness of your meetings.
